Scheduling Jobs
RoutePilot supports both one-time and recurring jobs. Recurring jobs create scheduled visits automatically so you do not need to manually book each cycle.
One-Time Jobs
One-time jobs are created for single visits: a new customer's first service, a special service call, or a one-off project.
- Go to Dispatch and click New Job
- Set the Scheduled Date to the day of the visit
- Leave the Recurrence set to None
- Save and assign to a technician
Recurring Jobs
Recurring jobs auto-generate future visits on a set pattern.

| Monthly | Once a month, same week position or same date |
| Custom | Every N weeks or months |
To set up a recurring job:
- On the customer record, click Add Recurring Schedule
- Choose frequency and preferred day(s)
- Set a start date
- Optionally set an end date or leave it open
Jobs are created on a rolling basis — typically 4–8 weeks ahead. You will see them on the dispatch board before they are due, allowing time to assign and route them.
Editing a Single Occurrence
To change one occurrence without affecting the whole schedule:
- Click the job on the dispatch board
- Select Edit This Occurrence
- Make your changes (date, technician, notes)
- Save
The rest of the recurring schedule is not affected.
Pausing or Cancelling Recurring Jobs
To pause a customer's recurring service:
- Go to the customer record
- Find the recurring schedule
- Click Pause to stop generating future jobs (resume later) or Cancel to end the schedule permanently
Jobs that have already been created are not automatically deleted when you pause or cancel a schedule.
Warning
Cancelling a recurring schedule is permanent. If you need to skip just a few weeks, use Pause instead so you can resume later without re-entering the schedule.
