Initial Setup

This guide covers the first steps after your RoutePilot account is created: configuring your business settings, inviting your team, and creating your first technician.

Business Settings

After logging in for the first time, navigate to Settings from the top navigation.

Key things to configure:

  • Business name — displayed on invoices and customer communications
  • Phone number — used as the sender ID for SMS messages
  • Service area — the counties or regions you operate in
  • Time zone — ensures schedule times are correct for your location

Inviting Your Team

Office staff and dispatchers can be invited from Settings → Users.

RoleWhat they can do
OwnerFull access to all features, billing, and settings
AdminAll operational features; cannot change billing or plan settings
DispatcherManage schedules, dispatch board, customers, and jobs
TechnicianMobile app only; cannot access the office app

To invite a user:

  1. Go to Settings → Users
  2. Click Invite User
  3. Enter their email address and select a role
  4. Click Send Invitation

They will receive an email with a link to set their password.

Creating Your First Technician

Technicians are created under Technicians in the main navigation.

  1. Click Add Technician
  2. Enter their name and contact information
  3. Set their weekly availability (the days and hours they typically work)
  4. Save the technician record

The technician will need to download the RoutePilot mobile app and log in with their credentials before they can receive route assignments.

Tip

You do not need to complete every field during initial setup. Name and contact information are enough to start dispatching. Add availability and other details as you learn the workflow.
